Scope

This policy explains how Centurion Corporate Services Incorporated (“CCS”, “we”, “us”) handles personal information when you visit this website, buy a service, use the client portal, appoint us as registered agent, ask us to prepare or submit a filing, or book a notarial act. We do not sell personal information, and we do not share it for anyone else’s advertising.

What we collect

Information you give us

  • Contact details — name, email address, phone number and mailing address.
  • Entity information — the entity’s legal name, file number, formation details, principal office, and the names and addresses of its owners, members, managers, directors and officers, as needed for the filings you ask us to make.
  • Signatures and approvals — consents, approvals of prepared filings, and the documents you sign.
  • Notarial information — for a notarial act, the details the law requires the notary to record in the notary’s journal, including how your identity was established. For a remote online notarization, this includes the results of identity proofing and credential analysis of your identification, and an audio-video recording of the session.
  • Correspondence — what you tell us by phone, email or through the portal.

Information we receive on your behalf

As registered agent we receive service of process and official notices addressed to your entity. We scan and store those documents in your portal because that is the service. We also retrieve information about your entity from public filing records.

Payment information

Card and bank payments are processed by our payment processor, Stripe. Card numbers go directly to Stripe; we never receive or store them. We keep a record of what was paid, when, and for which invoice.

Information collected automatically

When you visit the site, our hosting and analytics tools record standard technical information such as pages viewed, referring page, approximate location derived from IP address, device and browser type. See Cookies & analytics.

How we use it

  • To act as your registered agent, including forwarding documents served on your entity.
  • To prepare, submit and confirm the filings you approve, and to keep your compliance calendar current.
  • To perform notarial acts and keep the journal and records the law requires.
  • To bill you, take payment, and keep accounting and tax records.
  • To answer your questions and tell you about deadlines, renewals and changes to your service.
  • To secure the site and portal, prevent fraud, and meet our legal obligations.
  • To understand how the website is used, so we can improve it.

Public record

Much of what goes into a state filing becomes public once it is filed — for example an entity’s registered agent and registered office, and, depending on the filing, its governing persons and their addresses. That is set by law, not by us. Where a filing allows a business address in place of a home address, we will say so before you approve it.

Who we share it with

  • Government filing offices — the information a filing you approve must contain.
  • Partner registered agents — for an entity registered outside Texas, the partner registered agent that acts as agent of record in that state receives what it needs to do so.
  • Payment processing — Stripe, to take and record payments.
  • Identity verification — for remote online notarization, the provider that performs identity proofing and credential analysis.
  • Service providers — companies that host our website, database and files, send our email, and provide analytics, acting on our instructions and only for those purposes.
  • People you authorise — for example your lawyer or accountant, if you give them access to your portal.
  • Where the law requires — in response to a valid subpoena, court order or other legal process, or to protect our rights or someone’s safety.
  • Affiliates and successors — our affiliated companies where needed to deliver a service you asked for, and a successor business if CCS is reorganised or sold, subject to this policy.

Cookies & analytics

The checkout and portal use strictly necessary cookies to keep you signed in and to hold an order in progress; they cannot be switched off without breaking those features. We measure site traffic with privacy-focused analytics that do not use cookies to track you across other websites. If we use Google Analytics, it sets its own cookies to count visits; you can opt out with Google’s browser add-on or by blocking cookies in your browser.

Retention

We keep account and entity records for as long as you are a client and for a reasonable period afterwards to meet legal, tax and accounting obligations. Documents received as registered agent are kept in your vault for the life of the account and remain exportable. Notarial records, including remote online notarization recordings, are kept for at least the period Texas law requires — currently five years — and cannot be deleted early on request.

Security

Access to client records is restricted by account, documents are held in private storage, connections are encrypted, and card data never reaches our systems. No system is perfectly secure; if we learn of a breach affecting your personal information we will notify you as the law requires.

Your choices

You may ask to see the personal information we hold about you, to correct it, or to delete it. We will respond within 45 days. Some information cannot be deleted while we are your agent of record, or because the law requires us to keep it (notarial records, for example), and information already filed with a government office is outside our control. You can unsubscribe from non-essential email at any time; service notices about deadlines, documents served on you and billing are part of the service and will continue while you are a client.

Our services are for businesses and the adults who run them. We do not knowingly collect information from children under 13.

Changes

If we change this policy we will post the new version here with a new effective date, and if the change is material we will tell clients by email before it takes effect.
